Listings - Adding & Managing Your Listings

🏡 Adding Your First Property

The Listings section is where you upload, view, and manage your properties. Categories include: Residential – homes, apartments, flats, etc., Commercial – offices, retail, industrial spaces, and Land & Development – plots, projects, development opportunities.

Steps to Add a Property

From the dashboard, click Listings → select category. Click Add Property. Fill in the property form with the title/description, category & type, price & key details, and upload images and documents. Finally, click Save/Submit.

🔒 Properties are confidential: only you can see your uploads.

✏️ Managing & Editing Listings

Click on any listing to open its details panel. You can update details (price, description, type, etc.), upload additional images/documents, and remove outdated files.

🤖 AI-Generated Teasers: A teaser is automatically created for each property. Its purpose is to give buyers an overview without exposing confidential info (e.g., exact address). Teasers are shared with buyers when matches occur.

Deals - How Matches & Deals Work

🔄 How Matches Work

Buyers see properties matching their criteria. Sellers see when their listing matches a buyer. Contact details stay hidden until a team member introduces both parties.

📊 Tracking Deal Stages

Deals move through set stages, updated by the Rupert James sales team. You can track progress, but cannot move deals yourself.

❌ Active, Lost & Cancelled Deals (Buyers Only): Active deals are ongoing negotiations. Lost/Cancelled deals are those that didn't proceed. Buyers can revisit old matches later if interest changes. Sellers don't see "lost" matches to avoid noise.

🤝 Understanding Affiliate Deals: My Deals are matches from your own listings. Affiliate Deals are matches from referrals you brought into the platform. All Deals are both combined.

My Profile - Updating Your Profile & Buy Criteria

👤 Updating Your Profile Information

Access via Dashboard → My Profile. Update contact details, company info, etc.

💰 Setting Your Buy Criteria

Define what you're looking for, including max budget, property type (residential, commercial, development), planning consent, location preferences, and additional notes. The system uses this to generate property matches.

📈 Viewing Your Stats & Activity

Overview of your listings and ongoing deals. Quick summary of how many matches you've had.

Affiliates - Using Your Affiliate Link & Tracking Deals

🔗 Using Your Affiliate Link

Each member gets a unique referral link. Share it with buyers, sellers, or agents. When someone signs up, the system tags them as Referred by you.

📊 Tracking Affiliate Deals

View affiliate deals in Deals → Affiliate Deals. Track which stage each deal is at.

💵 Understanding Referral Commissions

If a referred contact closes a deal, you earn a commission (per agreement). Commissions vary per deal. All referral transparency is visible in your account.

Contacts - Managing Your Network & Client Accounts

📇 Managing Your Contacts in the Dashboard

See all contacts linked to your account. This includes your own details, referred users, and managed clients under your user dashboard.

✏️ Editing Buyer Criteria

Open a contact's record. Adjust property type, budget, or location preferences and save your updates. Changes will affect future matches.

🔗 Viewing Affiliate & Managed Contacts

View which users you referred (via affiliate link) and manage clients you represent directly.

➕ Adding Clients On Their Behalf

Use the Add New Contact form when you are mandated to act on behalf of a client. Add client details and assign the contact to yourself as their managing agent.

🎯 Setting Client-Specific Criteria

Each client can have their own buy criteria. Define budgets, property types, and location needs per client to ensure accurate matching.

📂 Managing Deals on Behalf of Clients

Matches are sent to you, not directly to your client. You decide what to pass along. This ensures confidentiality and client protection.

🔒 Confidentiality and Contact Protection

Your clients remain visible only to you. Other agents or buyers cannot see your added contacts. This protects your relationships and client base.

Feedback - Submitting Feedback & Support Requests

📝 Submitting Feedback and Support Requests

Access Dashboard → Feedback. Fill out the form with a title & description, section of the platform (listings, deals, etc.), feedback type (bug, feature request, support query, data correction), and priority level.

📌 Tracking Your Support Tickets

Feedback creates a support ticket. You can track its status as it moves from Open → In Progress → Resolved.
